Job Description

JOB SUMMARY:
The ECHO Office Coordinator provides the department with effective and efficient reception, manages incoming phone and electronic communications, secretarial services, assists in authorization and referral processes, distributes durable medical equipment, scheduling and registration services.

EXPERIENCE REQUIREMENTS
General - Office Experience. Experience working in public service, answering multi-line phone systems, using word processing and spreadsheet applications required.

SKILLS AND KNOWLEDGE
Typing, computer use, good organizational and communication skills.

ESSENTIAL FUNCTIONS:
  • Answer telephone, take and deliver messages according to department communication standards.
  • Assists in the coordination of administrative and staffing activities in assigned department.
  • Completes intake for new patients for ECHO and Adult Cochlear Implant Programs. Receives initial referrals and schedules initial and follow-up appointments for ECHO and Adult Cochlear Implant Programs.
  • Completes maintenance requests for the office and equipment within department.
  • Create miscellaneous letters to insurance companies, schools, third party payors, and patients as requested by ECHO staff.
  • Facilitates reimbursement of ECHO services by entering authorizations in the electronic medical record, requesting authorizations from third party payers as directed by ECHO professional staff, and providing documentation to third party payors.
  • Maintains a basic functional knowledge of equipment in order to troubleshoot on the phone and to order or replace correct equipment.
  • Monitors and orders all stock of office, paper andother supplies such as envelopes, forms, copy paper, patient education materials, etc.
  • Performs a variety of clerical duties in support of maintaining, compiling, auditing, and/or processing files.
  • Performs a variety of clerical duties involved with the registration and scheduling of patients.
  • Performs general office administrative work such as filing, ordering supplies, keeping inventory and distributing mail.
  • Provide accurate data entry, retrieval and reporting.
  • Assist patients in finding appropriate resources within Carle, such as assistance with billing and insurance issues
  • Interacts with Patient Accounts to ensure accurate billing, responding to Patient Account requests regarding billing and claims issues, completing account, charge review, patient and router review work queues for the ECHO program
