Job Description

JOB SUMMARY:
The Surgery Patient Scheduler is responsible for providing excellent customer service to those customers, i.e. physicians and physician offices, requesting to schedule patients for surgical procedures. The incumbent prepares computer schedules for Surgical Services Department to be used throughout the institution.

ADDITIONAL REQUIREMENTS
  • Use of usual and customary equipment used to perform essential functions of the position.
  • Work may occasionally require travel to other Carle Health Peoria region facilities/hospitals.
  • Required to drive your own vehicle for business purposes.


SKILLS AND KNOWLEDGE
Writes, reads, comprehends and speaks fluent English.Basic computer knowledge using word processing, spreadsheet, email, and web browser. Multicultural sensitivityCritical thinking skills using independent judgment in making decisions.

ESSENTIAL FUNCTIONS:
  • Provides quality surgery patient scheduling. * Responds promptly to scheduling request.* Obtains complete scheduling information in an accurate, efficient and professional manner.* Performs the scheduling function of the Surgical Services by utilizing the scheduling computer system and other computer/manual systems.* Compiles all information required, and schedules surgery time as requested by physician.* Appropriately schedules pre-testing times.* Presents a customer driven approach.* Identifies case specific needs and communicates appropriately:* Timely accurate recording and reporting of information* Identifies potential problems and alerts appropriate resource.* Initiates appropriate action to ensure needs are met.* Composes and arranges the surgery schedule to ensure efficient room utilization.
  • Develops and Demonstrates efficient work techniques. * Determines proper scheduling requirements and/or limitations to requested procedure.* Schedules patients appropriately in a timely manner to ensure customer satisfaction.* Exhibits a high level of proficiency in the use of the computerized scheduling system.* Ensures appropriate allocation of block and open time.* Maintains awareness of utilization and initiates release time appropriately.* Collaborates with surgeon, anesthesia, and surgery leadership to provide convenient access.* Aware of actual procedure time and allocates appropriately.
  • Develops and maintains job knowledge to perform job duties using good judgement and appropriate resources. * Demonstrates the ability to assess the amount of time required in each case.* Demonstrates the ability to work with various physician offices as well as other customers, in scheduling procedures.* Demonstrates effective decision making, communications and interpersonal relations to ensure a positive image of the organization and to ensure customer satisfaction.* Collaborates with appropriate resources.* Identifies conflicts/problems and refers to appropriate resources.* Seeks ways and means to increase efficiency.* The ability and willingness to train and support new employees on the scheduling process.* Ensures information is timely, complete and accurate.* Is sensitive to the chart room activities and needs.* Information is entered into the computer system in an accurate and timely manner.* Seeks ways to improve communication.* Collaborates with appropriate resources to ensure accuracy of changes in the schedule.* Collaborates with Chart room and Pre-Op to ensure efficient, effective and timely preparation and patient flow.* Stays updated with current scheduling processes with the computerized scheduling system.
  • Demonstrates integration of individual efforts within unit and supporting departments and adheres to policy and procedures. * Works alternating shifts when necessary: is willing to work when needed other than previously scheduled times.* Enhances workflow through successfully collaboration of job functions between shifts and all areas of the department.* Completes job assignments in a timely manner within shift to decrease customer waiting times.* Is committed to organization/departmental goals; keeps management informed of conditions.* May prepare special reports as requested by the manager of surgery scheduling to document utilization and processes of the surgery scheduling services.* Accepts, assists with and supports unit changes with explanation.* Willingness to assist peers in assignment completion.* Sensitive to the needs of unit and other personnel.* Assist with staffing problems.
